Treasurer's guide to club fundraisers: records, receipts and reporting
If you are the treasurer, a fundraiser is a small accounting project. Good records make it easy to report results and to prove that the money went where you said it would.
Money never touches Cornell Craves. Students pay the club directly over Venmo or Zelle, and there is no commission or fee.
What to record
Every order and its payment
Keep an order list that shows the buyer, the items, the amount and whether payment was confirmed. Cornell Craves lets the club confirm payments and export the orders as a CSV or PDF.
The vendor invoice
Save the receipt or invoice for what you bought.
Approvals
Keep the approval emails and any permit or charity letter with the fundraiser file.
Where the money went
Record the deposit into the organization's account and any transfer to a charity.
Report the result
Write a short summary with total revenue, cost, net proceeds, units sold and the purpose of the money. Share it with your advisor, and with any funding board that asks how you use your funds.
Follow your organization's rules
Each funding board and advisor may have its own requirements for handling and reporting money. Check them before the sale, not after.

Cornell Craves is an independent student project and is not run or endorsed by Cornell University. It does not replace any Cornell approval, and each club stays responsible for following university and county rules.
